Surface Studio NYC The FAQ

HOW TO RENT

The best way to get started is to send us a worksheet of your selects. Include your pickup and return dates, shoot location and job reference in the notes.

We’ll check availability and place them on hold for you.  We will reach out if another client wishes to confirm an item you have on hold.

When you’re ready to confirm your rental we'll email you a Quote, credit card authorization form, rental agreementand if applicable an ST-121 form. For a returning customer we’ll just ask to verify the card on file. You may also download the forms here, fill them out and email them to us so that we may process and wrap your order.

Once you confirm,  we’ll need 2 to 4 hours to wrap.  For clients who just have to wait till the last minute to let you know,we will charge a rush order fee.

All payments can be made on Credit or Debit cards only. We no longer accept checks or carry open accounts.

THE WEBSITE

Everything in our inventory is photographed and online. The website image is the best color reference for how the piece will look on set.

Items in each category are listed in order of size from small to large.

Note that Set Pieces and Surfaces are separated in the Nav Bar. A search will return results for both. You can also search by Color.

Make a worksheet. It is your visual checklist and streamlines your job of selecting, editing, and sharing with colleagues, clients and us. It is not possible to have multiple worksheets at the same time in the same browser/window.  Remember the worksheet will self-clear when you leave the website or close your browser

WRAPPING

Surfaces are wrapped in our custom sewn blanket ‘sleeves’ with velcro tape. Please ensure surfaces are returned to us in their sleeves.

Set pieces will be wrapped in mini sleeves held shut with rubber bands. When re-wrapping for your return please place all set pieces/tabletop items back in their sleeves secured with the rubber band, this keeps them from sliding out in transit. Please tape the box shut as well.

A shipping label is placed on the blanket on the front face of the surface. Keeping these    labels on the blankets will help you when re-wrapping and help us identify your return.

MARBLE and STONE:  DO NOT STACK IN TRANSIT - EVEN ON A CART FROM TRUCK TO ELEVATOR.

PICKUPS & DELIVERIES

WE wrap. YOU arrange pickup and return deliveries.

PLEASE NOTE  Large (4ft x 6ft and over) and/or Heavy (65 pounds and over) surfaces must be handled by a two person courier team. Large and heavy surfaces won’t be released to any one person.

Surfaces will not be released to bike messengers and we highly recommend professional couriers over DIY moving for marble and stone. We're happy to recommend a courier.

PRICING

The rental price listed online is for a 5 business day or 1 calendar week rental.
Pick up Monday 1st morning and return Monday 7th morning.

Rentals beyond 1 week are Extended and are prorated at 20% of the original (pre-tax) fee per day.
Pick up Monday 1st morning and return Tuesday 8th morning = one rental  + one extended day.  
(We allow a courtesy return window until 11am before counting the day as an extended rental.)

We do not offer discounts or negotiate pricing for editorials, large rentals, tests or shorter shoots.  Due to consistent inflationary pressures beyond our control, our rental prices were raised by 5% as of February 1st, 2022. This is reflected as a separate line item on every invoice.  Inflation Surcharge - as of FEB 1st, 2022    

Cancellations on confirmed orders that have already been wrapped will be charged a 50% cancellation/restocking fee. In the event we’d lost a rental on any item in that order, the full price will be charged.

REPAIRS, REPLACEMENTS & INSURANCE

Renter assumes full responsibility for lost or damaged goods (per signed rental agreement).

Damaged items must be returned.

Repair fees are assessed on a case by case basis and are charged when we must go beyond usual cleaning and maintenance.

Replacement fees are for cases of items being damaged beyond repair. Replacement fee is set at 6x the surface’s rental cost. Marble and Stone is set at 10x the surface rental cost. This fee is separate from the rental fee. We recommend insuring items at 6x the total rental cost for both transportation and on set.

Accidents happen, we understand. IF anything is damaged on set we appreciate a courtesy heads up email or phone call.    

TAKING CARE OF SURFACES ON SET

We do our best to keep our surfaces in the best condition possible for you; we expect you do the same for us.

If you have any uncertainty, we’re happy to take your call or email, don’t hesitate with any questions! We can guide you to ensure stress-free shooting and happy returns!

Surfaces like Solid Acrylic, Corian, Formica, Resincoat Cement and Industrial Finish are spill proof. They may be cleaned with windex and paper towels. Note that plastic will melt and bubble if left under hot lights or LED lights. 

Surfaces like Marble, Venetian Plaster, Cement and Wood are NOT spill proof and in fact can be damaged easily by anything organic or wet. Please note this when shooting any:

    • Fresh cut fruit
    • Plants
    • Baked goods
    • Raw fish, fowl and meats
    • Makeup smears
    • Glycerin

Consider a layer of acetate on top of the surface.

Please do not drag anything across surfaces as they scratch easily and we aren’t always able to repair them. Place a thin layer of felt or a paper towel 'coaster' underneath anything, but especially cement set pieces, rocks, or plates with coarse bottoms.  Tape can often remove finishes on woods painted surfaces, and cements

Other things to be aware of that can cause damage are:

    • Hot lights
    • Open flames
    • Clamping without cushioning
    • Heavy handed taping
    • Cutting, ironing or drilling holes on surface
    • Excessive wax

 So please be cautious of those things on set as well.

CUSTOM / SALES

We're not selling inventory at the moment or making  custom rental/sales items. Everything is made here by hand in our West 30th street studio, so replicating or replacing is no small task.  If you wish to be added to an eventual Sale list, please contact us.

SHIPPING

We do not crate and ship out of town via Fedex, UPS or USPS.
